Notary Assistant A reputable and well-established law firm is seeking a Notary Assistant to join its busy and successful Notary team on a 12-month maternity cover contract.

This role would suit an experienced legal secretary or administrator who enjoys client contact, is highly organised, and has excellent attention to detail. Previous exposure to notarial work is advantageous but not essential, as training will be provided.

The Role: You will provide high-quality administrative and client support to the Notary team, assisting with specific stages of the notarial process and ensuring all work is accurately recorded and progressed.

Key responsibilities include:

  • Supporting the Notary Clerk with administrative duties and record keeping

  • Ensuring notarial work is methodically documented and compliant

  • Taking client instructions and responding promptly via telephone and email

  • Organising documentation and assisting with document production

  • Undertaking research as directed

  • Liaising with clients, legal representatives, and professional bodies

  • Assisting at client meetings when required

  • Preparing bills and processing payments

About You: You will be a confident and professional individual with experience in a legal support role and a strong client-focused approach.

You will ideally have:

  • Previous experience as a legal secretary or administrator

  • Experience within a law firm or professional services environment

  • Excellent organisational skills and attention to detail

  • Strong written and verbal communication skills

  • A methodical and reliable approach to work

  • A positive attitude and the ability to work well as part of a team

  • Some knowledge of the notary process (desirable but not essential)

The Team: You will be joining a collaborative Notary team specialising in the authentication and certification of documents for use overseas. The team works closely with other specialist departments within the firm and operates a partner-led, supportive structure that encourages teamwork and development.
