Sales and Lettings Coordinator

Job description

My client are seeking a proactive and highly organised Lettings and Sales Coordinator to support their Head of Sales and Lettings. The ideal candidate will play a key role in the smooth operation of the office, ensuring efficient handling of daily tasks and client interactions.

Key Responsibilities:

  • Administrative Support:Assist the Head of Sales and Lettings with daily tasks, including diary management, email correspondence, and document preparation.
  • Client Communication:Handle incoming calls and enquiries with a professional and friendly manner, providing information and directing queries as appropriate.
  • Property Listings:Coordinate the marketing of properties, ensuring accurate and up-to-date information on all listings, including website updates and online portals.
  • Viewings and Appointments:Organise and schedule property viewings, liaising with clients, vendors, and landlords to confirm times and follow up for feedback.
  • Tenancy Coordination:Support the lettings process by preparing tenancy agreements, referencing checks, and ensuring all compliance documents are in place.
  • Sales Support:Assist with the sales process by managing buyer and seller correspondence, updating property files, and coordinating with solicitors and other stakeholders.
  • Office Management:Maintain an organized workspace, ensuring that all files, paperwork, and client records are updated and easily accessible.
  • Marketing Support:Help with social media updates and property promotions to enhance the company's visibility and attract potential clients.
  • Database Management:Maintain accurate records of client information and property details on the CRM system.

Experience and Skills required:

  • Previous experience in an estate agency or property environment is highly desirable.
  • Strong organisational skills with excellent attention to detail.
  • Exceptional telephone manner and interpersonal skills.
  • Proficient in Microsoft Office (Word, Excel, Outlook) and familiarity with property management software.
  • Ability to multitask and manage time effectively in a busy environment.
  • Strong communicator both written and verbal.
  • A full UK driving license.
