Team PA/Administrator

Job description

Job title: Team PA

Work location: Manchester and Birmingham - Hybrid - This role requires 2 days per week from Manchester, 1 from Birmingham & 2 from home.

Package:

£30,000 starting salary

Purpose

The successful candidate will have the exciting opportunity to provide comprehensive administrative support to the Business. By embodying a proactive approach, they will seamlessly integrate into our dynamic team, playing a pivotal role in ensuring the smooth day-to-day operations of all administrative tasks.

Key responsibilities

  • Efficiently manage the calendars of team members, including scheduling meetings, appointments, and events.
  • Coordinate with internal and external stakeholders to ensure smooth scheduling and avoid conflicts.
  • Assist in the planning and execution of both external and internal team gatherings, networking events, and other functions.
  • Handle logistics such as venue booking, catering arrangements, and guest invitations.
  • Maintain accurate and up-to-date records in HubSpot or similar CRM platform.
  • Input new contacts, update contact information, and log interactions as necessary.
  • Manage office-related tasks including handling passes, mail, and other administrative duties as required.
  • Ensure the smooth functioning of day-to-day office operations.
  • Update compliance dates on Knowa and other relevant platforms.
  • Ensure adherence to standard compliance events such as TR&A, Scheme Return, and Implementation Statement deadlines.
  • Assist with AAF-related tasks, including making simple amends such as copying letters onto the correct Vidett template.
  • Run OpenAir reports for each scheme at the beginning of each month.
  • Distribute reports for analysis to relevant stakeholders.
  • Handle KYC and ongoing due diligence requests for investment purposes.
  • Obtain wet ink signatures and provide necessary documents such as Deeds, Registers of Directors, and details of Beneficial Owners

Key responsibilities

  • Proven experience in a similar administrative support role.
  • Exceptional organisational and time-management skills.
  • Strong attention to detail and accuracy.
  • Proactive in approach with a can do attitude
  • Excellent communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite and CRM systems (e.g., HubSpot).
  • Ability to multitask and prioritize effectively in a fast-paced environment.
  • Discretion and ability to handle confidential information with sensitivity.
